Migration from Stripe subscriptions
This article runs over the process of migrating from Stripe built-in subscriptions to WodBoard.
Limitations of migration
There are a few limitations on the migration process due to the way Stripe exports data:
- Offline payers and free memberships will need to be setup manually as we can't tell who pays via card and who pays offline
- Any discounts on memberships will have to be manually applied once the import of data is complete
- Any paused memberships in Stripe will need to be paused in WodBoard
- Class packs and one-off payment memberships do not come across and will need to be manually added
Preparation
Before exporting data from Stripe it can be a good time to do some house keeping so you only bring across those athletes which you want to take to WodBoard. We bring across customers that are classed as Active subscriptions so you may wish to make sure any active members are setup as that.
Creating an API Key
We can automatically pull all your subscription data from Stripe without you exporting any files. To do this you'll need to create an API key which is a special key that lets us read your subscriptions without needing your username or password. To create one of these:
1) Log into Stripe and head to the developers section. This may be found along the top or in the sidebar of your account
2) Click the button to create a restricted key:
3) On the popup choose the option to provide to an external website
4) Enter "WodBoard Import" as the name, and "https://www.wodboard.com" as the url. Click the create button
5) On the page that loads click the "Reveal test key" button and copy the key. You will be sent a link of where to paste it to. Do not email this to us as it's not secure
As we match memberships and class packs by name when importing from Stripe, the names in your WodBoard account will need to match exactly. Consequently if you have renamed or reorganised your products as part of your migration to WodBoard, then you will need to either a) rename them back (you can change them in WodBoard once the import is complete) or b) change them in Stripe so the names match the ones in WodBoard. DO NOT edit the spreadsheet - this changes the format of the file and means the importer won't work.
Stopping payments in Stripe
If you do not stop the subscriptions in Stripe your customers will be charged by both WodBoard and Stripe, leading to double charges for customers
You'll want to stop existing payments in Stripe once you've migrated to WodBoard as WodBoard manages the charging rather than Stripe. To do this click into each subscription in Stripe and use the cancel option.
Importing data
Your WodBoard onboarding specialist will have sent you a link to upload the files to. You should do this the day before the migration is due to take place.
