Migration from bSport
This article runs over the process of migrating from bsport to WodBoard.
Limitations of migration
There are a few limitations on the migration process due to the way bsport exports data:
- Offline payers and free memberships will need to be setup manually as we can't tell who pays via card and who pays offline
- Any discounts on memberships will have to be manually applied once the import of data is complete
- We bring across paused memberships but cannot tell if they're paused or not, so you will have to manually pause any customers that shouldn't be active.
- Anyone with a pass that has remaining sessions left before the time limit hit will need it expiring in WodBoard.
- Anyone with a pass that has no limits will not be brought across
- Any memberships set to end in Wodify won't have the date brought across so you will need to set the end date in WodBoard yourself
- Any fixed length memberships will need the end date setting if there's multiple charges
- If somebody has the same membership twice it'll only be brought across once
- Children are not imported
Preparation
Our importer will only bring in those customers with an active product (subscription or pass with remaining classes). As such if you have any customers with products who shouldn't then now is a good time to clean them up.
Exporting data
We need three files from bsport which can be exported as follows:
- The members file. Head to Reporting in the bsport sidebar and choose the Members option. On the listed reports section click into the Members report
- On the report page click the Export button to download the file
- Next download the subscriptions report. Head to the same reporting page and this time choose Subscriptions and again click to go through to the report
- On the page that loads change the date range to "Last month" and click Save. Then click Generate. And finally click Export. Note - you must this in this order and wait for updates to appear, otherwise the wrong data will be exported.
- Finally go back to Reporting and choose the Passes report. This time click the Edit icon before clicking into the report
- On the edit page add in the "Subscription" and "Expiry date" fields. Click Save and then go into the report
- On the page that loads change the date to todays data, click Generate and then finally click Export
As we match memberships and class packs by name when importing from bsport, the names in your WodBoard account will need to match exactly. Consequently if you have renamed or reorganised your products as part of your migration to WodBoard, then you will need to either a) rename them back (you can change them in WodBoard once the import is complete) or b) change them in bsport so the names match the ones in WodBoard. DO NOT edit the spreadsheet - this changes the format of the file and means the importer won't work.
Stopping payments in bsport
You'll want to stop existing payments in bsport once you've migrated to WodBoard or customers will be charged twice. Once you've done this you can contact bsport support to cancel your account. We recommend downloading all your data, especially the waivers athletes have signed, before completely closing the account.
Importing data
Your WodBoard onboarding specialist will have sent you a link to upload the files to. You should do this the day before the migration is due to take place.
