Trial Classes / Bring a Friend

Many gyms currently offer a "Bring a Friend" day or free trials to enhance lead generation and attract more customers. Word of mouth has traditionally been the most effective form of advertising in the fitness industry, making these events highly successful. However, the challenge lies in organising these days without burdening the gym staff, particularly when implementing rewards for the members who bring in friends. This brief video and article will guide you through the process of setting up a "Bring a Friend" day and demonstrate how to streamline the follow-up process using the CRM add-on.

Custom Sign-up Fields

Create a custom sign-up field for your customers when they register or sign up for a trial class. This could include questions such as 'How did you hear about us?' with radio buttons, or 'Which friend referred you today?' with a text field.

  • Settings -> Customer options -> Manage custom sign-up fields -> New Field

  • Name your custom field
  • Choose the Type from:
    • Checkbox (customer can select more than one option)
    • Dropdown (customer is given a selection of things to chose)
    • Radio button (customer can only select one option)
    • Free Text (customer can input text response)
  • CRM users will have an 'Applicable to' drop-down feature to choose who the form applies to:
    • Customers
    • Leads
    • Customers & Leads
  • Check if the Field must be entered by the customer

This will now be included in the forms for anyone entering your gym or registering with you via Settings -> Links & Codes

Allowing Trials

Some gyms set a class type up for "Bring A Friend" and switch the trials on. Others change the individual classes that day to allow trials.

Creating a New Class Type:

  • Timetable -> Add New -> Class
  • Input details of class and check 'Allow Trials'

Changing Individual Classes:

  • Click on the Class in Timetable -> Edit
  • Check 'Allow Trials'

How to send Trial Links

Sending the link to your customers is best done through Announcements & Communities to cover your bases. Announcements will send both a push notification and an email to your customer. Communities will create a post where you can paste the link in.

Link to Trial Class:

  • Settings -> Links & Codes -> Select Trials link -> Copy

If you're using the CRM, we do not recommend using this link as trialists will go into the Customers section rather than Leads. Instead generate a link from Leads in the sidebar and then Forms.

If you have created a form:

  • Leads -> Forms -> Trial Link -> View Link -> Copy

Creating a Form:

  • Leads -> Forms -> New Form -> Book a trial
  • Fill out New Form details
  • Add a Tag to enable filtering within your leads (Settings -> Customer options -> Tags -> Edit)

  • Ensure you check the box to include any Custom sign-up fields
  • Go to Communications -> Automations and check your Trials are installed for the automation
  • Edit as required (Select New Automation -> Lead-Trials if not installed)

Copy links to:

Announcements:

  • Communications -> Announcement

Communities:

  • Check your communities are turn on; Settings -> Business Details -> Enable Communities
  • Post as new message on your Community board; Menu -> My Dashboard

Reporting

You can access several reports to monitor the success of your trials and/or bring a friend days.

To see check who attended trials, the Bookings report is ideal where you can specify a date range and also specific class type.

  • Reports -> Bookings - trials

To access the Custom Sign-up Field information you have set up:

  • Reports -> Customer - Custom Sign-up Fields
  • Reports -> Leads - Custom Sign-up Fields (CRM access only)
