Bookings - Event Options

This article walks you through the options available to customise your booking system to suit the needs of your business and clients.

General

The general section controls what you want customers to view in terms of bookings, waitlists and general booking parameters. Head to Settings -> Event Options to edit.

Booking Visibility - When looking at the event page, this option determines what visibility the customer has of other attendees booked into the class.

Options are:

  • None
  • No. of bookings only
  • Other attendees visible

Bookings close - this is when the customer can no longer book themselves into class. If the booking is closed, staff can manually add them in if required.

Options are:

  • When event starts
  • When event ends
  • Before event starts

Space allocation - If checked, this option will ensure a space can only be allocated to one event at a time.

Coach allocation - If checked, this option will ensure a coach can only be allocated to one event at a time.

Automatic cancel - Cancel a class if it has no bookings 1 hour before starting.

Overlapping bookings - Whether a customer can book into overlapping sessions.

Bookings & Late Cancels/No Shows

This section enables you to choose the availability of your bookings and whether your members receive notifications in case of absence or late cancellation.

The Penalties charging section is only applicable if you have set up penalty charges in the section below. You can choose between '24hrs after class' or 'Add to monthly bill.'

Class, Service & Workshop Options

This section allows you to set up rules for drop-in's, late cancelation window setting and penalties.

Drop-ins - You can choose if you always charge a drop-in or if the first drop-in is free. The refund process is generally set to original payment unless they have claimed an account at your gym, in which case you can choose to credit their account.

Late Cancel Windows - This can be set to minutes, hours or days. If the customer cancels within your set period it will automatically be considered a late cancellation unless manually removed by staff. The Overnight Late Cancel Window is an options setting that extends the late cancel window the night before the class starts. Any classes cancelled in this window are considered late cancels.

Penalties - If the Membership & Packs & payment boxes are checked, the customer will lose a class credit/payment on a late cancellation. Can you also choose to charge a penalty fee for late cancels and/or no shows. You have the option to edit products and/or classes that you can opt in or out of the penalties.

If you require the same class type but different times to count as penalties, create a new class type in the TimeTable (ie. CrossFit off-peak and CrossFit) and assign late cancels/no-shows accordingly.
