Bookings - Event Options

This article walks you through the options available to customise your booking system to suit the needs of your business and clients.

General

The general section controls what you want customers to view in terms of bookings, waitlists and general booking parameters. Head to Settings -> Event Options to edit.

Booking Visibility - When looking at the event page, this option determines what visibility the customer has of other attendees booked into the class.

Bookings close - this is when the customer can no longer book themselves into class. If the booking is closed, staff can manually add them in if required.

Space allocation - If checked, this option will ensure a space can only be allocated to one event at a time.

Coach allocation - If checked, this option will ensure a coach can only be allocated to one event at a time.

Automatic cancel - Cancel a class if it has no bookings 1 hour before starting.

Overlapping bookings - If this is switched on, it allows customers to book into overlapping sessions.

Priority Bookings

This section enables you to choose the availability of your bookings including priority bookings specific to classes and/or products.

The Bookings, Drop-ins and Trials 'open at' are your global rules for all classes in your timetable. You can override these settings for a specific class and/or product by clicking Edit class/product overrides.

The Class Level Overrides are set up on the timetable -> class type. Click edit to navigate to this page.

Below is an example of overriding the booking system based on a specific product. You may choose to use this for a premium membership where they have priority booking or a pass where you want to set a lower booking period up.

Late Cancels/No Show Settings

There are a few options when looking to implement a late cancellation/no show policy for your gym. Late cancel periods can be set for Classes, Services and Workshops.


You are not required to set up anything in this section but should you wish to activate any of them, here are your options for classes:

  • Input what you consider a late cancel time in the Late Cancel Window section for Classes.
  • The Overnight Late Cancel Window is set up to protect your early morning classes. Should anyone cancel within this period, they would be considered a late cancellation.
  • There are 3 tiers of the late cancel/no show settings which you can see in the image below:
    • Emails. If these are on, they will receive an email to encourage them not to late cancel or miss their class booking altogether.
    • Lose a class credit/payment upon a late cancel/no show.
    • Penalties which can be set up a for specific products and/or classes.

Penalties: If you require the same class type but different times to count as penalties, create a new class type in the TimeTable (eg CrossFit off-peak and CrossFit) and assign late cancels/no-shows accordingly.

Drop-ins

You can choose if you always charge a drop-in or if the first drop-in is free. The refund process is generally set to original payment unless they have claimed an account at your gym, in which case you can choose to credit their account.
