How to Set Up Passes

Passes in WodBoard enable you to create highly customisable and flexible options that will support both your business model and your members needs. In this article, we'll guide you through how to create and manage your gym's passes.

What are Passes?

Unlike memberships that are restricted to a weekly or monthly reoccurring subscription, passes allow you to set up a number of sessions with or without and expiry. Much like a puch-card. Below is a short video tutorial and also step-by step instruction showing you how to set up a pass.

To create a pass, click on the Membership tab, click Passes and hit the New Pass button:

Once you've done that, there are two areas that go into creating a pass. These are Pass Details and Advanced Options. Let's look at each in detail:

Pass Details

This is where you'll set up the core elements of a pass such as what type of pass it is, whether it applies to all or just some gym locations if you're a multi-location facility, as well as what you charge for the pass.

Name

This is the name of the plan. It's how you and your members will see it in the app if it's not hidden so make sure the name is nice and clear!

Location

Limited to multi-location gyms. You can configure the membership to apply to all locations or just one.

Pass Type

  • Class - this is what it says on the tin, a class.
  • Studio Rental - this is an option to choose if you are letting out your studio for more than a one off session. An external Yoga instructor taking over your space with a combo of both your clients may be a good example.
  • Service - This may be a nutrition on-line service that meets weekly on zoom.

Number of Sessions

Input the number of sessions your pass is valid for.

Expiration Period

Select from days, weeks, months. You can also leave this with no expiration.

Price

The price field is the amount the customer will pay for the pack.

Advanced Options

On Completion or Cancel Auto-Purchase

Once the pass has completed or cancelled then you select what product this should auto-purchase.

  • If there is to be no follow on, leave this box blank as '-'
  • To have this pass auto-renew, create the pass and save. Then go back in, edit this section to renew to itself. You will also now be able to create purchase summary points.

Category

This functionality enables users to establish categories for their customers to browse while making purchases. To begin the setup process, click on 'create category' and commence typing. This action will trigger the system to generate a new category. Examples of common categories include Monthly Memberships, Programming, Passes, Personal Training and more.

Introductory Offer

The pass can be bought once by new customers.

Hidden

This pass is not available for self-service, but can be bought with the hidden link.

Restricted

This pass can only be allocated by staff members with the settings or payments permissions.

Note: Leave all boxes unchecked if you want customers to purchase through the self-serve Memberships option on their app.

Helpful tip: When you go back into the Pass -> Advanced Options, you will see a Direct purchase link. This can be copied and sent to anyone wishing to purchase this Pass if you have it hidden or restricted.

Limit availability to the following customers

If you have this plan set up as self-serve, and this is a plan set up for a specific few customers, populate who they are in this section.


Click SAVE and your pass is complete.
