Setting up a Service
A Service is something that's performed one-on-one and where a customer gets to choose a time convenient for them from an available list that is set up in the system. This can include things like Personal Training, Intro Appointments, One to One Nutrition etc. Services can be bought as a standalone option by your customers and/or as part of a Membership Plan or Pass. This guide will walk you through the process in a detailed step-by-step manner.
Set up your Service
- Timetable -> Services -> New Service ->Name Service
Fill out details of your Service:
- Allow one-offs if you wish to allow customers to book a one-off rather than access this service as well as access this service via a membership, then check this box.from their app.
- Customers can book themselves in option allows them to book the service themselves. If this option is off, then only staff can book the appointments.
- Select times they can book within an hour.
- Assign Coaches & Space (if required, see below).
- Category - this is what is will come under when the customer purchases this online. It is a way to organise your plans and services. Create a new one by typing in the box.
- Attendance automatically record. This is a handy setting for Services so you don't need to remember to check them in.
If you have other classes or services going on at the same time, you will need to set up an additional space. Refer to our help article for this.
Staff Availability
This step is only required if you've turned on, 'Customers can booked themselves in' option. If this is a session with a coach, the staff member will need availability set up.
- Staff -> View Staff Member
- Click edit under Availability and add in coaches recurring availability. See article on how to set up and change availability and connecting to your calendar.
Set up a Membership or Plan for the Service
If you wish to sell your Service as a recurring Membership or Pass, you will need to set this up under Memberships. See our help article on how to do this.
Make sure to select Service when configuring the Membership/Pass or it will not link to your Service.
Customer Booking In
Now that you have everything set up, Customers can purchase a membership from their app or a one-off appointment.
Customer buys Service
If you have set up the service as a one-off/customer's can book themselves in, this is how they book:
- One-off Appointment: Menu -> Appointments -> Book and select date
They can now go into Appointments to book their session
- Select Coach & Time -> Book
- Select a membership or payment method -> Book Now
Gym Staff Booking Customer In
If you have chosen the option not to allow customers to book themselves into a Service, here is how you do it on your end:
Book one-off or recurring Appointment for your customer
- Timetable -> Add New -> Appointment -> Fill out details. *You can also click directly on the Timetable to book an appointment in.
- Book & Charge (Apply as one-off payment or Reserve with Plan/Pass)
